Quote = the higher of break-even ÷ (1 − margin) and your minimum
Download the Excel file and type your labor rate, margin, minimum, fuel, equipment wear and overhead into the yellow cells. The Job pricer then returns a quote per job along with the break-even and your profit, and it flags the rows where your minimum took over. Every starting number is an example you overwrite. The price pages we found online were cost guides to read, and none offered a sheet you could edit.

What the Four Tabs Do
Yellow cells are yours to change and gray cells hold formulas, so type over the yellow ones only. The file opens in Excel, Google Sheets, Numbers and LibreOffice.
| Tab | What you enter | What it works out |
|---|---|---|
| Settings | Labor per hour, target margin, minimum charge, fuel per trip, equipment wear per hour, overhead per job. Two helpers turn your gear cost and monthly overhead into the last two. | The markup that earns the same profit as your margin. A 30% margin is a 42.9% markup. |
| Job pricer | One row per job: type, size, hours on site, drive hours, crew size, chemicals. Nine example rows run from a driveway to a commercial lot, with six blank rows after them. | Labor, fuel, equipment, overhead, break-even, the price at your margin, the quote after your minimum, price per unit, price per hour on site and profit. |
| Price list | Your rate for each service. House tiers go by stories and living area, with a 30% height factor for the second story, and a helper turns a fence rate per sq ft into a rate per linear ft. | A published range, its source and date beside each rate, plus driveway quick prices at 400, 576, 800 and 1,000 sq ft that never fall below your minimum. |
| Markup vs margin | A job cost and a percentage. | The price both ways, the extra profit from pricing on margin, and a table from 10% to 50% margin. |
Set Your Own Numbers Before You Trust a Price
Settings is the tab that decides what the rest of the file says, and every value on it starts as an example.
- LaborWhat you pay yourself or a helper for an hour, payroll taxes included. Drive time is paid time, so the pricer adds the round trip to the hours on site.
- MarginHousecall Pro's pricing guide (Mar 9, 2026) suggests 20-40%, and the cell accepts 0 to 80%. Margin is a share of the price, so 30% margin is a 42.9% markup on cost, while Joist's guide uses a 30% markup that keeps only about 23%. The markup vs margin page has the converter.
- MinimumHousecall Pro lists $100-250, and the sheet's example is $150. The minimum charge guide shows how to build yours from the drive and setup you pay for before the first square foot.
- Equipment wear and overheadTwo helpers do the division. The example spreads $4,000 of gear over 800 billable hours, which is $5 an hour, and $1,000 a month of insurance, phone, software, ads and vehicle payment over 50 jobs, which is $20 a job. Count the jobs in a slow month.
The full method, with a worked driveway, is in the pricing guide.
Run a Job Through Before You Quote It
Take the small patio row. It's 200 sq ft, half an hour on site and half an hour driving, one person, $5 of chemicals. Labor comes to $30, fuel $12, equipment $2.50 and overhead $20, so break-even is $69.50 and the margin math says $99.29. The sheet shows $150 under QUOTE THIS and a Yes under minimum used, because your minimum is higher than the formula. You keep $80.50 for an hour door to door, where a $99 price would have left $29.79.
The commercial row runs the other way. Ten thousand sq ft in 3.5 hours with two people comes to $499.29, or $0.05 per sq ft, under the $0.08-0.40 Housecall Pro lists for commercial flatwork. The sheet's own note says cost-based math is a floor, and that you price up to the market and not down to your cost.

Published 2026 Ranges to Check Your Rates Against
The Price list tab puts a published range, with its source and date, beside each rate you set. They are reference points. Most come from software vendors and homeowner cost guides, and none of them is your town, so a gap between your rate and a range is a prompt to recheck your numbers.
| Job | Published range | Source | Written by |
|---|---|---|---|
| Residential flatwork | $0.15-0.75/sq ft; driveway $100-300 | Housecall Pro, Mar 9, 2026 | Software vendor |
| Driveway, homeowner view | Average $210, range $100-350; $0.30-0.55/sq ft | HomeAdvisor, Jun 20, 2026 | Homeowner cost guide |
| House wash | One story $250-500; two story $400-800 | Housecall Pro, Mar 9, 2026 | Software vendor |
| Siding by area | Vinyl $0.12-0.30, brick $0.15-0.35, stucco $0.18-0.40 per sq ft; two-plus stories adds 30% | QuoteIQ cost calculator, 2026 | Software vendor |
| Roof soft wash | $0.15-0.60/sq ft; $250-600 per job, average $440 | HomeGuide, written Apr 19, 2024 | Homeowner cost guide |
| Roof, "most operators" | $0.30-0.75/sq ft | Softwash Technologies, undated 2026 | Equipment and chemical seller |
| Deck and fence | Deck $150-500; fence $150-400 | Housecall Pro, Mar 9, 2026 | Software vendor |
| Gutter brightening | $1-3 per linear ft | Housecall Pro, Jan 30, 2026 | Software vendor |
| Commercial flatwork | $0.08-0.40/sq ft (its table says $0.10-0.40); parking lots $0.08-0.25; storefront $200-600 | Housecall Pro, Mar 9, 2026 | Software vendor |
| Minimum charge | $100-250; soft wash $300-400; roof about $550-600 | Housecall Pro (first); Softwash Technologies (the others) | Vendor; equipment seller |
These match the Price list tab. Each source's own date is shown, and Softwash Technologies gives none beyond "2026".
When the Spreadsheet Runs Out
The sheet prices a job. It doesn't send the quote, so you retype the number into an estimate, which is fine at a few quotes a week and is what our estimate template is for. When the retyping starts eating your evenings, an app that builds itemized estimates takes it over. QuoteIQ's Essentials plan is $29.99/mo, as listed on its pricing page in October 2026, and covers estimates, invoices, scheduling and card and ACH payments.
Questions Owners Ask
Does the price sheet work in Google Sheets?
Yes. The file's own notes say it works in Excel, Google Sheets, Numbers and LibreOffice. Upload it to Google Drive and open it with Sheets.
Are the rates in the file what I should charge?
No. Every yellow value is an example, and the Price list column says so in its header. Run three of your own jobs through the Job pricer, then compare the result with the ranges.
Why does the sheet quote less than a homeowner cost guide?
The pricer builds a floor from your costs and margin. HomeAdvisor tells homeowners to expect $240-440 for an 800 sq ft driveway, while the sheet's example row comes to $156. That guide comes from a lead site rather than your town, but a gap that size is a reason to check your hourly rate and your minimum.
How do I add a job type or more rows?
Pick Other in the job type dropdown and type your own size. The Job pricer has six blank rows, and copying the last gray row down adds more.
